Submission System Migrations

Moving journals between submission systems, especially at scale, can create uncertainty for editorial teams. The migration takes place while journals are still managing live submissions, so teams need clear information about what is changing and how it will affect their work. The client and system provider lead the technical migration. PA EDitorial looks after the editorial support around it. Before go-live, we prepare teams for the move and keep them informed as it progresses. Our support continues once the system is in use. This post-migration hypercare gives editorial teams somewhere to take the practical questions that emerge in day-to-day work. Our team has supported large-scale submission-system migrations across extensive journal portfolios, giving us first-hand experience of the practical challenges editorial teams face before, during and after go-live.

Embedding New Tools into Workflows

New tools need a clear place in the journal’s editorial process. When a new tool is introduced, teams need to understand where it sits in the workflow, how its outputs should be handled and where responsibility for decisions lies. PA EDitorial helps clients establish where the tool sits in the workflow and how its output will be handled. We then work with the editorial team to build it into the existing editorial process. Training is based on the journal’s own process, so the team can see how the tool applies to the work they already do. Once the tool is in day-to-day use, we remain available to answer questions as they arise.

When roles or workflows change, work can fall between the old arrangement and the new one. Live submissions still need to move while responsibilities are transferred and revised processes settle in. We help clarify responsibility at each stage and support the handover of work. Where people are taking on new responsibilities, we provide practical training and support based on the journal’s own processes. Support can cover one journal or a wider portfolio and continue until the new arrangements are working day to day.
