Our Approach to the Responsible Use of AI

PA EDitorial Ltd uses artificial intelligence (AI) tools to support our work in a responsible, ethical, and transparent way. AI is used to enhance efficiency and quality, while maintaining the high professional standards our clients and partners expect.

Purpose and Principles


Our use of AI is guided by the following principles:

Supporting professional judgement: AI is used to assist human expertise, not replace it. All AI-assisted work is subject to meaningful human oversight and review.

Client trust and confidentiality: Protecting client, publisher, and company data is paramount.

Compliance and ethics: We are committed to complying with applicable data protection, copyright, and confidentiality obligations.

How We Use AI


AI tools may be used to:

• Support drafting, editing, and refining content, templates, or communications

• Assist with research, analysis, or summarisation using publicly available or anonymised information

• Automate administrative or repetitive tasks that do not involve confidential or personal data

All AI-generated outputs are reviewed, edited, and approved by our team before use.

How We Do Not Use AI

We do not use AI to:

• Process or upload confidential, unpublished, or sensitive client materials
• Handle personal data without appropriate consent and safeguards
• Generate final client deliverables without human review and quality assurance
• Produce content that infringes copyright, misrepresents authorship, or violates publishing ethics

Data Protection & Security

We use secure, enterprise-grade systems and apply strict controls to ensure that company and client data is not used to train public AI models. Where AI tools are used, we take steps to minimise data retention and sharing, in line with best practice and contractual obligations.

Transparency & Accountability

Our people remain fully accountable for all work delivered. We are committed to transparency around the use of AI-assisted tools and will openly disclose their use in our workflows or outputs in accordance with client expectations, policies, and contractual requirements.

Ongoing Review

We recognise that AI technologies and regulations continue to evolve. Our approach to AI is reviewed regularly to ensure it remains responsible, compliant, and aligned with industry standards.

Teamwork

Working from home means creating a team founded on trust, support and motivation are even more important. We encourage regular online chats and discussions, share best practices and recognise individual achievements with ‘Feedback Friday’.

Integrity

We are honest, open, ethical and fair. As a result of our strong moral principles, people trust us to adhere to our word.

Staff Development

It is imperative we continue to internally train and educate our team to ensure we are always fully prepared for new and emerging trends. Our team have access to resources via many sources, including direct training with submission platform providers. We are also members of several institutions, including ISMTE, EASE, UKSG and ALPSP.

Inclusivity

We strive to foster a sense of belonging and empowerment within our team and are committed to building an effective PAED family with a variety of alternative home circumstances, backgrounds, skills and views. The more inclusive we are, the better our work will be.
